Device Integration: How To Get All Your Business Devices To Work Together

When carrying out work from a range of different devices, it can be useful to get all of these devices in sync with one another – otherwise things can get messy. Below are some tips for integrating all of your devices so that you haven’t got files and apps scattered all over the place.

Install the same apps on each device

One of the simplest ways to ensure that your devices all work together is to standardize the software that you use across all devices. Make sure that you and your employees aren’t trying to use separate apps for word processing or video calls. Similarly, make sure that you are all using the same version. If multiple employees are going to use the same application at the same time, make sure that the software you choose can support that many users – forcing 10 employees to share 5 accounts will mean that employees have to take turns to use software, plus employees will have to remember to log off each time they are no longer using the application, which is not convenient. 

Avoid local storage

Storing files on a local hard drive means that they can only be accessed using that device. If this is information that another team member is likely to need – or you think you may need to access it from another device – make sure that is stored on the cloud. This not only allows better collaboration and cross-device access, but also prevents files getting lost if a device is damaged or stolen.

Be wary of compatibility issues

Compatibility issues can cause all kinds of problems such as not being able to open files on certain devices or files getting corrupted when opened. Try to use cross-platform applications that work across all the devices you are using. If certain devices don’t play nicely, consider replacing these devices that are compatible. Standardizing file formats can also be recommended for preventing formatting issues. 

Switch to a cloud-based phone system

Traditional landline phone systems require you to make and receive calls from certain devices in a certain location. A cloud based phone system instead uses the internet to make calls – this allows you to make and receive calls on the same number from any device on any location. For businesses with remote team members or business owners that are constantly on the go, a cloud-based phone system can be very convenient. It can also be cheaper than a traditional landline system, and you have the option of digitally tracking and recording calls.

Supply employees with work devicesTo truly harmonise device integration, consider saying no to BYOD policy and instead supplying all your employees with work laptops and work phones. This allows you to more easily control what software and interfaces everyone is using so that there aren’t compatibility issues and so that you know everyone is using the same software. It could also make training certain tasks easier, plus workers can more easily separate their personal and business life by not having to use personal devices for work use.
